The C.L.E.A.R. Method for Better Prompts

The workshop's cheat sheet sums up a good prompt in five letters. Include these and the AI has far less to guess:

Context: the situation or background of your request.

L

Limitations: rules to follow, such as word limit or tone.

E

Explain the task: exactly what you want it to do.

A

Audience: who will read the result, staff or the public.

R

Required format: a letter, table, checklist or bullet points.

Weak Prompt vs Strong Prompt

Weak

"Write a notice."

Strong

"You are an office assistant at an education board. Write a formal notice telling staff that the deadline for submitting attendance sheets has moved to Friday. Under 100 words, with a clear subject line."

The weak version leaves the AI guessing the topic, reader, tone and length. The strong one answers all of these, so the first draft is usually close to what you need. If it is not, ask for changes: good prompting is a loop of prompt, review and refine.

A Ready-to-Use Prompt Template

Copy this, fill in the brackets, and use it for almost any office task:

Act as a [role, e.g. office assistant].
I need you to [the task].
Background: [the situation].
Work from this material: [paste text or data].
Rules: [length, tone, what to keep unchanged].
This is for: [the readers].
Give the result as [letter / table / bullet list].
If anything is missing or unclear, say so instead of guessing.

Think Before You Paste

Safe to use with AI

  • General questions and public information
  • Generic templates for letters and notices
  • Excel formulas tested on made-up sample data
  • Internal text with names and IDs removed, if your office allows the tool

Never paste into AI

  • Student or candidate data, such as names with roll numbers and marks
  • Employee personal or financial details
  • Passwords and login details
  • Unreleased exam papers or results

AI can be confidently wrong: It may give names, dates, numbers or rules that sound right but are not. Always check its work against the original, and remember that people, not AI, are responsible for official decisions.
